Credential Groups

Credential Groups collects people's account connections in one organization pool. Organization administrators configure providers, request connections, and choose which integrations each workspace may use. Workflows find an account by invitation email through the Credential block.

An organization has at most one pool. Its workspace access starts empty.

Availability and access

Sim Cloud requires an active Enterprise plan. On self-hosted deployments, enable CREDENTIAL_GROUPS=true, or ENTERPRISE_ENABLED=true for the enterprise suite. Personal workspaces cannot use an organization pool.

Organization owners and admins manage Settings → Credential Groups, subject to permission settings. Workspace Admin access alone does not allow changing the pool or its grants.

Credential Groups is available independently of Search. Search administrators configure Settings → Sources; members connect personal Search accounts under Integrations. Adding a provider to Credential Groups does not create a Search source or start indexing. Managed MCP connections support live tool calls.

Set up the pool

Open the organization's Settings → Credential Groups. If no pool exists, select Set up Credential Groups.

IntegrationsAdd providers and manage their shared configuration
PeopleRequest connections, inspect accounts, resend invitations, and revoke access
AccessGrant a workspace all or selected integrations

1. Add integrations

In Integrations, select Add integration, search the catalog, and complete any required setup. Use Configure to change an added provider's settings or Remove in its menu to remove it.

ProviderRequired organization setup
OAuth providers such as Gmail or Google DriveAdd the provider; each invited person authorizes their account
SlackSupply the Slack App ID, Slack workspace ID, OAuth client ID, and client secret, then verify the app; the organization uses one app and Slack workspace
Fireflies and GranolaAdd the provider; Sim supplies the MCP endpoint and handles OAuth client registration
HubSpot member accessThe deployment must supply a registered HubSpot MCP OAuth app; people authorize CRM read access; see HubSpot Search
DatabricksEnter a name, the tenant's HTTPS MCP URL, a registered OAuth client ID, and a client secret if that client requires one

Existing workspace Slack bots and their triggers remain separate from the organization's personal Slack connections.

For Databricks, use an official endpoint such as https://your-workspace.cloud.databricks.com/api/2.0/mcp/sql and the OAuth client registered for the deployment. Add validates and saves the configuration before the provider appears; cancelling adds nothing. Leaving the client secret blank while editing preserves it. Changing the endpoint or OAuth client requires people to reconnect.

2. Request connections

Configure the providers before inviting people. A Search source does not replace required OAuth or managed MCP setup.

  1. Open People and select Request connections.
  2. Enter email addresses and select Send requests.
  3. Each invitee opens the invitation, signs in with its verified Sim email, and authorizes the providers they want to contribute.
  4. They select Submit to finish the form.

Invitees can contribute accounts without joining your organization. The invitation gives access to the connection form, not to your workspaces or workflows.

Use the invitation email for workflow lookups. For example, inviting alex@example.com lets Find Organization Account look up Alex's active Gmail contribution with that email and Gmail.

How the email is associated with a Sim user

On first use, the invitation email must match the signed-in user's verified Sim email. Sim binds the invitation to that user account. Opening the link as another person cannot take it over, and a later email change does not transfer it to another Sim user. The invitation email remains the workflow lookup key.

The verified Sim user who starts authorization must complete it. The provider account may have a different email; its contribution belongs to the bound Sim user. Managed MCP connections use that person's authorization too. Search separately checks current provider identity and source-specific access requirements.

Use Resend in a person's menu when they need the invitation again. Revoke stops the organization from using their contributions. They cannot undo an administrator's revocation by reconnecting themselves.

3. Grant workspace access

  1. Open Access and select Add workspace.
  2. Choose one workspace in this organization.
  3. Under Integrations, choose specific integration types or All integrations.
  4. Select Add workspace to save the grant.

A selected grant requires at least one integration. All integrations also includes integrations added to the pool later. Use Edit access to change the selection, Save access to save it, or Remove access to withdraw the grant.

Every normally authorized workflow in the workspace can use active accounts for its allowed integration types, including scheduled, webhook, and public deployments. There is no separate workflow allowlist or restriction to the running person's own contributions. Choose All integrations only when this exposure is intended.

For example, allowing Gmail in the Support workspace lets its authorized workflows use Alex's Gmail contribution even when someone else runs them. The grant does not give anyone permission to edit or run a workflow they could not otherwise access.

Changes apply to subsequent calls. Removing access cannot recall a provider request already in flight or erase data already received. Standalone Chat continues to use each person's own connections; the workspace grant does not give Chat other people's accounts.

Use account references in workflows

In an eligible workspace, use the Credential block's organization operations:

OperationResult
Find Organization AccountOne OAuth account matching the invitation email and provider
List Organization AccountsA page of OAuth accounts, optionally filtered by email and providers
Find Organization MCP ConnectionOne managed MCP connection matching the invitation email and MCP provider
List Organization MCP ConnectionsA page of managed MCP connections, optionally filtered by email and provider

The workflow's workspace determines the organization. You do not enter a credential group or organization ID.

Outputs contain account references, not tokens. Use an OAuth credentialId in a compatible integration block's credential field. For managed MCP, credentialId selects the person's connection. mcpServerId identifies shared configuration and cannot select that person's authorization by itself.

See the Credential block reference for inputs, outputs, pagination, and connection-event triggers.

Reconnect or stop sharing

Contributors can open Settings → Account → Connected accounts to inspect their contributions, including contributions to organizations they have not joined. Reconnect starts authorization again. Disconnect stops subsequent organization use of that account.

Administrative controls have different scopes:

ActionEffect
Remove an integrationStops use of that provider's contributions in the pool
Revoke a personStops use of all their contributions to the organization
Change a workspace grantLimits it to the selected integration types
Remove a workspace grantStops its workflows from using the pool

Limits and troubleshooting

  • Pool and grant limits: one pool per organization and up to 1,000 workspace grants. Grants select integration types, not individual people's accounts. There is no separate per-workflow allowlist.
  • Databricks: one tenant configuration per pool; multiple endpoints cannot be added as separate Databricks providers.
  • Missing organization operations: check organization availability, the workspace grant, and its selected integration types.
  • Rejected sign-in: use the verified Sim account matching the invitation email. The provider account can have a different email.
  • Failed Find operation: it requires exactly one active match. Check email, provider, connection status, and allowed integration type. Zero or multiple matches cause an error; Sim does not choose an arbitrary account.
  • Incomplete list: list operations return up to 100 connections per page. Follow nextCursor while hasMore is true.
  • Migration-review error: an operator must review existing pool policies and Search dependencies before enabling workflow sharing. Setting the feature flag does not migrate old grants; affected people may need to reconnect.
  • Legacy Credential Group block: replace it with the appropriate Credential operation or trigger, update output references, and redeploy.
