ADMINISTRATOR'S GUIDE

Chapter 1. INSTALLING AGENDA
INTRODUCTION
AGENDA is a desktop management system that provides
a personal calendar, a telephone message system, telephone
directory, alarm function, notepad area, and meeting planner
for individuals and groups of office workers.
This document contains the information and instructions
necessary for a system's administrator to install,
configure, and manage AGENDA. There is a separate
document provided that guides the AGENDA user.
INSTALLATION CONSIDERATIONS
System Profile
Decisions concerning the date, time, and file management
must be reflected in the system profile named
agendasys.cfg. This file is a standard text file which
you can view and edit at your convenience. It is a
self-documenting file with notes in the first few lines of
it that explain the different parameters.
Take these steps to ensure proper operation:
1. Decide the format for the time displayed by
AGENDA. Time can be displayed in either standard 12
hour format or 24 hour military units. The label TIME
FORMAT= in the agendasys.cfg file must be followed by either
"12 hour" or "24 hour".
2. Decide the format for the date and calendar displayed by
AGENDA. The date can be displayed in either
American (mm/dd/yy), or European (dd MMM yy) units and
the calendar will start with either sunday or monday.
The label DATE FORMAT= in the agendasys.cfg file must be
followed by either "American" or "European".
Generating AGENDA
The systems administrator should follow these steps to start
up the system and begin entering user identities into the
program files.
1. Run the installation program, agendagen.plc.
This establishes the various data files
that are operated on by the program.
2. Bring up AGENDA using the agenda.plc program.
3. You are prompted for an identification number. Enter
9999999999 (ten 9's, the initial user identification
number).
4. Select the Users function from the top level ring menu.
Then, select the Write command and add your name and
others along with the required information to the list of
valid AGENDA users. Refer to Chapter 2 for
security password and instructions.
After you have added yourself and all other users to the
system, you can set them up to access the AGENDA
software and data files and they can begin running the
system.
User Profile
The system administrator should decide whether or not each
AGENDA user will have an individual user-profile
file to aid in bringing up the program. The individual user
profile is an text file named agendaid.txt which you
can create and modify with any text file editor.
If AGENDA does not find a user profile file when it
initializes, the system will prompt the user to enter a user
identification.
Creating a user profile enables the individual user to logon
in one of two alternative ways:
o Logon directly to AGENDA without any interaction.
This is accomplished by including in the user profile a
line that has the user's number in it.
o Logon as the "trusted agent" for up to ten different
AGENDA users. As a trusted agent, the user has
all the capabilities of the individual users. This
feature is implemented by including the identification
number of the five designated users in the agendaid.txt
file, each on a separate line.
In addition, if the word "HILITE" is included on a line by
itself starting in column 1 in this file, the Calendar
function of AGENDA will display in boldface, all
days in the current month that have appointments on them.
If this line is missing from the profile or there is no user
profile present, the program defaults to showing all days in
the month in normal video. In this case, if the user
presses the F1 key while in the Calendar function, all days
with appointments on them will then be displayed in
boldface.
Chapter 2. USER STATUS
When you select the Users function from the command ring
menu of the main AGENDA screen, the program displays
a management/information screen concerning all
AGENDA users in the current group. The following seven
activities may be selected from the command ring menu at the
bottom of the "Status of Users" screen:
o Searching for the name of a user
o Changing a user's in/out status
o Displaying additional user groups
o Adding new users
o Modifying information about the user
o Deleting a user
o Shutting down AGENDA
Information is displayed for the following categories:
o User name
o Telephone extension
o Group or department code
o Messages waiting
o Current status (in, out, or not available)
o Date of most recent status change
o Time of most recent status change
o Comments
A brief description of each activity on the ring menu
follows. The activity may be selected by using the right
and left arrow keys or by selecting the upper case letter
shown in the commands in ( ) below. As the system
administrator you will be particularly interested in the
last four commands described in this section.
SEARCHING FOR A NAME (Search)
To search for a specific user name in AGENDA, select
the Search command from the command ring. The program
prompts you to enter a name (up to 20 characters). You can
press the Return key instead of entering a name to display
all user names in a specific group. The program then
prompts you to enter a group code (up to five characters).
If you do not specify a name or a group code, information
about all users is displayed. When the listing is complete,
the program returns to the users menu.
CHANGING A USER'S STATUS (sTatus)
To change the status of a user (In, Out, or Not available),
select the sTatus command from the command ring. You can
then use the Down Arrow or Up Arrow key to advance the
cursor to the user name whose status you wish to modify.
Press the Return key to indicate modification. You are then
prompted to select the status: In, Out, or Not available.
Press the Return key again to register the new status. The
program then prompts you to enter a comment. To bypass the
comment, press the Return key. The status is then updated.
If you have chosen the wrong user name, press the F5 key
anytime before the status is changed. The cursor then
returns to the beginning of the current line and you can use
the Up Arrow or Down Arrow key to select a different name.
DISPLAYING THE NEXT PAGE (Next page)
To view subsequent screen displays of user status when
multiple screens are available, request the Next page
command on the command ring. The display advances to the
next screen of user status information. If AGENDA
displays all users on only one screen and you select Next
page, the same screen is displayed.
ADDING NEW USERS (Write)
To add new names to AGENDA, select the Write command
on the command ring. The program prompts you to enter the
security password. Once the password is accepted, the
cursor is positioned on the first blank line of the
information display where you can enter the new information
in the proper columns. Press the Return key after each
column entry to advance to the next column. When the entire
line is complete, press the Return key to register the new
user in the AGENDA system. The columns require
information concerning:
o User name
o Telephone extension number
o Group
o Identification number (this number is not shown in the
information display, but is registered in the data file)
MODIFYING USER STATUS INFORMATION (Modify)
To modify any portion of the user information, select the
Modify command on the command ring. The program prompts you
to enter the security password. Once the password is
accepted, the cursor is positioned on the first user line of
the information display. Use the Down Arrow or Up Arrow key
to advance the cursor to the line you wish to change. Then
press the Return key. You can then modify any column on
that line. The columns categories that can be modified
include:
o User name
o Telephone extension number
o Group
o Identification number (this number is not shown in the
information display, but is registered in the data file)
To bypass any column, press the Return key.
DELETING A USER STATUS ENTRY (Delete)
To delete a user status entry from AGENDA, select
the Delete command on the command ring. The program prompts
you to enter the security password. Once the password is
accepted, the cursor is positioned on the first line of the
information display. Use the Down Arrow or Up Arrow key to
select the name line you wish to delete. Then press the
Return key. The program prompts you to review the entry and
approve the deletion. Press the Return key again. The
entire line of information is deleted from AGENDA.
SHUTTING DOWN AGENDA (sHutdown)
To stop the AGENDA system in an orderly fashion and
not allow access to its files, select the sHutdown command
on the command ring. The program prompts you to enter the
security password. Once the password is accepted, the
program prompts you the enter a date and time for future
system restoration. Then the program prompts you to enter a
note to inform others of the reason for the shutdown. An
additional prompt is displayed allowing you to select
automatic system restoration at the time and date previously
specified.
When the shutdown occurs, the system shutdown monitor screen
is displayed on the screen of any active AGENDA
user. The shutdown monitor contains a command ring that
allows you to exit AGENDA and return to the Resource
Management System to perform other RMS applications while
awaiting the restoration of AGENDA or to restore
AGENDA. If you do not select either option, the
logon screen will return when AGENDA is restored.
The system shutdown monitor displays the following
information:
o The date and time AGENDA was stopped
o The user who requested shutdown
o The approximate date and time restoration is to occur
SECURITY PASSWORD
Certain functions that an administrator performs require the
entry of a password in order to proceed. AGENDA
will prompt you for it when you try to modify user-base
information or shut down the system. The password is the
same for all functions. The password is "AGENDA". As an
administrator you will want to protect this information and
insure that it is known only by those with the need and
knowledge to perform system administration changes.
